Full refund if the event is canceled at least 7 days before the event, provided no costs have been incurred (e.g., no equipment purchased or travel costs for site inspections).
If canceled anytime after that, Lowveld Live will keep the 50% deposit.
2. Changes to Scope of Work
Any changes to the initial scope of work, including additional equipment, graphics adjustments, or extra labor, will incur additional charges. These costs will be communicated to the client on the day of the event and invoiced separately.
3. Travel & Accommodation
If accommodation is not included in the quote, the client is responsible for providing accommodation for the Lowveld Live team (the number of laborers required). The accommodation must meet the same standard as the client’s own accommodation. It is not acceptable for the team to be provided with substandard accommodation, such as a tent.
4. Content Ownership & Use
The client (who the quote/invoice is made out to) will own the rights to all recorded content produced by Lowveld Live during the event.
The client may use the content for their intended purposes, such as promotional use or distribution, but cannot sell or sublicense the content without prior written consent from Lowveld Live.
Lowveld Live retains the right to showcase portions of the content in our portfolio or promotional materials unless otherwise agreed in writing.
5. Force Majeure
Lowveld Live is not liable for any failure to perform its obligations under this agreement due to events beyond our control, such as extreme weather, strikes, or other force majeure events.
If the event proceeds as scheduled despite these circumstances, Lowveld Live will do its best to provide services as agreed. However, if the event is canceled by the client or venue due to force majeure, the cancellation policy will apply.
6. Liability & Insurance
The client is responsible for obtaining and maintaining public liability insurance for the event, including coverage for any injuries or damages that may occur to third parties.
Lowveld Live is not liable for any injuries or damages that occur during the event unless caused by the negligence or fault of Lowveld Live.
Any damage to equipment caused by unforeseen circumstances (e.g., weather) will be covered by Lowveld Live. However, intentional damage or damage resulting from negligence by the client or their guests will be the client’s responsibility.
7. Indemnity
The client agrees to indemnify Lowveld Live against any claims, losses, or damages arising from the use of our services or content, including but not limited to cases where the event does not turn a profit due to the services provided by Lowveld Live.
8. Agreement to Terms
By accepting the quote and/or making any payment (including the deposit), the client agrees to the terms and conditions outlined in this document. No signed quote is required before invoicing.
